Why Pearl exists

We called a dozen clinics. Here's what happened.

Calgary · August 2026 · a true story

We phoned about a dozen Calgary clinics asking about a whitening offer. Most rang out to voicemail — so we did what every patient does, and called the next clinic on the list.

Twenty minutes later: one anonymous text from a number we'd never dialed. "Sorry we missed your call." No clinic name. No callback. Ever.

That's the whole story. It's why Pearl exists.

How she works

One setting, and voicemail stops existing.

01

One phone setting

On your clinic line, set "forward when busy or unanswered" to Pearl's number — a standard setting with every phone provider. At close, forward everything. Done.

02

She answers like she works there

Warm, unhurried, genuinely interested — and grounded in your day sheet: your hours, your services, your whitening offer word for word. She collects four things: new or returning, what for, good times, a name and number. Nothing more.

03

Your desk confirms

Every caller gets a text back that names your clinic. Your front desk opens to the morning digest — names, reasons, times, numbers — and confirms every appointment themselves.

2 · RESCHEDULE — Thursday hygiene, work conflict

One clean list on the desk at open. Your team just calls people back.

Nothing about a cleaning is worth waking anyone at 2 AM. A real dental emergency is different — severe pain, swelling, a knocked-out tooth pages your on-call cell the second it happens, any hour.

The rules she never breaks

What Pearl never does

Never gives clinical adviceNo guesses at what a symptom means, ever. She cares, she captures, she gets them seen.
Never confirms a time she can't seeShe can't see your schedule — so she never pretends to. "You're in the book, the desk confirms at 8" is a promise your team always keeps.
Never asks for more than four thingsNo birthdates, no insurance policy numbers, no medical history. Your front desk handles that, on the callback.
Never records your callsNo call audio, ever — and no transcript kept unless your clinic's retention schedule asks for one.
Never texts anonymouslyEvery message says which clinic it's from. An unsigned "sorry we missed you" is how patients end up at the competitor's.
Never replaces your front deskShe only exists where the alternative was voicemail. Every appointment is confirmed by your people.

Privacy, the Alberta way

Built for Alberta's Health Information Act

In Alberta, dental booking information is health information under the HIA — and most answering tools never even mention it. Pearl was built inside that reality from day one.

A four-field intake and nothing more. No recorded audio. Your clinic's data under your clinic's control. And the privacy paperwork — the information manager agreement and the impact-assessment package your college expects — comes with her.

Questions dentists actually ask

Every clinic asks these five.

Won't my patients hate talking to a machine?

They'd hate it as a replacement for your front desk — so Pearl isn't one. She only answers where the alternative was voicemail: after close, over lunch, when both lines are busy. She's warm, she listens, she never rushes, and everything she books is confirmed by your own team. The comparison isn't "person vs. machine." It's "answered vs. rang out."

What happens in a real emergency?

She takes it seriously and follows your clinic's own after-hours protocol, word for word. Severe pain, swelling, bleeding, a knocked-out tooth — your on-call cell is paged immediately, any hour, and callers in medical distress are told to call 911 first. A whitening question at 2 AM waits for morning; an abscess never does.

What if she's asked something she doesn't know?

She says so, plainly, and takes it for the desk. Pearl answers only from your clinic's own day sheet — your hours, your services, your offers in their exact words. She never guesses at coverage, never invents an opening, never freelances a price. A closed book, warmly read.

What does setup involve?

You fill out the day sheet once — about ten minutes — and set one forwarding rule on your phone system ("forward when busy or unanswered"). Your published number never changes. Most clinics are live the same week.

Is patient information safe with her?

Safer than voicemail, by design. Four fields, nothing more — no birthdates, no policy numbers, no history. No recorded audio, ever. Data stays under your clinic's control, and the HIA paperwork your college expects — the information manager agreement and impact-assessment package — comes with her.
